A premium travel design agency based in Athens, Greece, receives 350-400 inbound leads per month through their website trip inquiry form. With a small team of 3-4 travel designers, they had a critical gap: it took 24-48 hours before anyone could call a lead back. Leads went cold or booked with competitors. The conversion rate sat at just 6-10%. The problem wasn't the quality of the designers — it was speed.

The Client

Greeking.me is a premium travel design agency based in Athens, Greece. They don't do cookie-cutter vacations — they craft personalized trips to Greece and Italy for international travelers, with a small, dedicated team of travel designers who know every hidden beach and rooftop restaurant worth visiting.

With 350–400 leads coming in every month through their website, business was booming.

But there was a problem hiding in plain sight.

The Challenge

When a potential traveler filled out Greeking.me's trip inquiry form, excited about their dream trip to Santorini or the Amalfi Coast, they had to wait. And wait.

It took 24 to 48 hours before a human travel designer could call them back.

In travel, that's an eternity. By the time someone finally reached out, the lead had either gone cold, lost their excitement, or worse — booked with a competitor.

Some leads did book a follow-up call via Calendly right after submitting the form. But many simply skipped that step and closed the window. Those leads? Gone.

The conversion rate sat at 6–10%. Not because the travel designers weren't excellent — they were. The problem was speed. The gap between a lead's excitement and the first human contact was too long.

How We Connected

Tim Cakir, co-founder of AI Operator, met Nikos Theodoris at an AI conference in Istanbul. After learning about Greeking.me's lead volume and response time challenge, the idea clicked immediately: an AI voice agent that could call leads the moment they submit the form.

Here's what a lead's experience looks like now:

  2. Within minutes, their phone rings
  3. Athena greets them by name: "Hi Sarah, this is Athena from Greeking Me! I see you're planning a honeymoon trip — congratulations!"
  4. She asks a few quick questions about their dates, flexibility, and preferences
  5. She offers available time slots in the lead's local timezone
  6. She books the consultation call right there on the phone
  7. The lead gets a confirmation email and SMS

What Makes Athena Special

She's personal. Athena doesn't make generic calls. She references the lead's specific trip details — destination, travel dates, party size, trip purpose — all pulled from the form they just filled out.

She's honest. After a natural opening exchange, Athena discloses that she's an AI assistant. No deception. Leads respond well to the transparency.

She handles timezones. With international leads calling from New York, London, Sydney, and everywhere in between, Athena automatically converts calendar availability to the lead's local time. And she never calls anyone at 3am — calling hours are enforced between 8am and 8pm in each lead's timezone.

She never drops a lead. If the calendar is full? She still collects qualification info and the team follows up manually. If a booking fails? The internal team gets an instant email with all the details. Every edge case is handled.

The Tech Stack

We built Athena using tools the client was already familiar with — no rip-and-replace required:

  • JustCall — AI voice agent platform (Athena lives here)
  • Zapier — Automation engine connecting everything
  • ActiveCampaign — CRM for lead management and tagging
  • Calendly — Booking system with Round Robin across travel designers
  • Gmail — Error notifications for the internal team

Why Zapier? Because JustCall's outbound AI voice agent integration was native on Zapier — not available on Make.com or n8n at the time. Native integrations mean faster builds and fewer breaking points.

The Build

Timeline: 6 weeks

Milestones: Two phases — Foundation and Booking

This was Kubi's first AI voice agent build. No one showed him how — he learned every tool from scratch, did all the research independently, and shipped it end to end.

Phase 1 — Foundation

Get the AI calling instantly when a lead submits the form. Personalized greetings, AI disclosure, skip logic for leads who already booked, phone validation, and calling hours enforcement.

Phase 2 — Booking

Add qualification questions, live Calendly booking during the call, timezone conversion, ActiveCampaign logging, and Round Robin routing across travel designers.

The biggest blocker? Getting outbound AI voice call access from JustCall took about 3 weeks of back-and-forth with their support team. Once that was resolved, the technical build moved fast.

Under the Hood

Two Zapier automations power the entire system:

Automation 1 — Instant AI Call

Lead submits form → Added to ActiveCampaign → Wait 3 min → Check if they self-booked → Validate phone number → Check calling hours (8am–8pm local) → Fetch 7 days of Calendly availability → Parse slots with JavaScript → Trigger Athena with full lead context and available time slots

Automation 2 — Book Meeting

Athena triggers webhook during call → Convert lead's local time to UTC with JavaScript → Book on Calendly → Success: tag "Booked Via Athena" in ActiveCampaign → Error: email team for manual follow-up

Every edge case is covered. Double booking checks, timezone conversion, no-availability fallbacks, error handling with manual follow-up. No lead ever falls through the cracks.

The Results

🕐 Lead response time: 24–48 hours → Under 5 minutes

📞 Skipped leads: Previously lost → Now called automatically

🌍 After-hours leads: Missed until next day → Queued and called at 8am local time

🏷️ Booking attribution: Manual tracking → Tagged "Booked Via Athena" in CRM

📈 Call capacity: Limited to team availability → Unlimited simultaneous calls

Going Live

The moment of truth came on March 3, 2026. Kubi ran the first live end-to-end test: form submission → AI call → qualification questions → booked meeting → confirmation email. Everything worked perfectly.

Nikos's response?

The team presented Athena to their travel designers the next day.

The first week of live testing brought feedback that led to quick refinements: switching from a British to an American accent, adjusting how Athena pronounced the brand name, and removing the landline number from the script.

Lessons Learned

Speed-to-lead is everything. In travel, the window between excitement and action is tiny. Calling 5 minutes later vs. 48 hours later is the difference between a booking and a lost lead.

AI doesn't replace humans — it bridges the gap. Athena doesn't sell trips. She qualifies leads and books them with the right human designer. The travel team still does what they do best.

The conversation script is the product. The AI is only as good as the instructions you give it. We iterated on the script many times, listening to recordings and refining until every conversation felt natural.

Always build fallbacks. No availability? Still call. Booking failed? Email the team. Lead already booked? Skip the call. Handle every edge case because in production, they all happen.

Platform pricing matters. JustCall charges ~$1/min for AI voice calls. Alternatives like VAPI charge ~$0.09/min. For high-volume use cases, that 10x cost difference is significant. Choose based on your existing stack and volume.

What's Next

Athena is live and calling real leads. The Greeking.me team is collecting data from the test phase and planning optimizations. The foundation is built, the next step is scaling and refining based on real-world performance.
