How to Automate Business Tasks with ChatGPT Agent
Aug 13, 2025
Are tedious admin tasks taking up way too much of your time?
With ChatGPT’s Agent, you’ll win back hours of your life.
Agent transforms ChatGPT from a helpful conversational tool into an autonomous digital worker that can execute real tasks.
It’s a revolution for business founders and entrepreneurs. In this article, we’ll show you how to finish complex tasks that usually take hours in the time it takes to drink your morning coffee.
How ChatGPT Agent works
ChatGPT Agent is a virtual assistant capable of handling complex, multi-step tasks with minimal human intervention.
Agent mode is possible because of two OpenAI innovations: Operator and Deep Research.
Operator allows ChatGPT to click and type on websites, and take actions by connecting directly to your tools and services.
Deep Research is how ChatGPT can perform in-depth web research, summarize sources, compare information, and cite findings, so you can get trustworthy answers with references.
With these powers combined, ChatGPT Agent can operate autonomously. When you give it a complex task, it can gather relevant, up-to-date information from the web, reading articles, comparing sources and citing its findings.
Then, it can take action based on that research, like drafting and sending an email, updating a document, or scheduling a meeting in your calendar.
ChatGPT agent can:
Follow multi-step instructions
Make decisions based on real-time data
Interact with websites, mimicking human actions like clicking, typing and navigating
Write and execute code
Analyze data
Create spreadsheets, presentations, and other documents
It accomplishes all this by using a virtual computer, extracting information through both text and visual browsers to interact with websites.
ChatGPT agent is only available on paid plans, and usage limits apply:
Pro: 400 messages/month
Plus: 40 messages/month
Team: 40 messages/month or 30 credits/message
How to use ChatGPT Agent for your business
There are endless things you can do in Agent mode.
Let’s explore a couple of practical business use cases that are crucial for business owners: competitive analysis and client meeting prep.
Competitive Analysis with ChatGPT Agent
Competitive analysis is one of the most important things to do for your business.
We usually recommend writing detailed prompts that give plenty of context.
But here, we kept the prompt short and simple to test the agent’s powers and let it decide what to do:
You can write something similar for your own business, including a link to your website.
Then, in the space of a few minutes, Agent performs the entire analysis, and produces a document with all the information.
Here’s a breakdown of everything it did:
1. Visited the AI Operator website
Opened https://aioperator.com.
Scrolled through to understand three key offerings.
Took note of the tone of voice, target audience, and positioning.
2. Identified the competitive landscape
Searched Google for related terms like:
“AI Operator training automation consulting competitor”
“AI consulting companies 2025”
“Train as an AI Operator”
“AI automation training for business”
Made a decision to cast a wide net and look for any organization doing AI training, consulting, or automation with a business audience.
3. Reviewed and extracted data from competitors
Opened and examined around 7 competitors in total.
Pulled feature lists, value props, training formats, and pricing when available.
Noted tone and intended audience.
4. Compared offerings
Created category-by-category comparisons, including:
Training depth and format
Customization and use of real business cases
Automation services
Strategic consulting or implementation
This helped frame AI Operator’s unique strengths and gaps.
5. Drafted the competitive analysis
Wrote the analysis as a Markdown file with these key sections:
Summary of AI Operator's positioning
Profiles of each competitor
Table comparing services across providers
Key opportunities to stand out
Used a helpful but honest tone to highlight AI Operator’s strengths and weaknesses
6. Saved and shared
Saved a final draft as a
report.md
fileProduced a downloadable file.

Competitive analysis results:
At the end of the process, we had:
A competitive overview based on ~25 live searches and ~200 sources
A structured spreadsheet of key data
A presentation deck summarizing trends, differentiators, and strategic insights
Delivered in about 15 minutes.
Doing this manually would be a vast amount of work and take hours (maybe days!).
The spreadsheet and presentation created by ChatGPT might not be perfectly polished. But they provide a solid foundation packed with research and insights, so you can digest the results and, most importantly, make a plan of action.
Client meeting preparation with ChatGPT Agent
How awesome would it be to confidently walk into every client meeting, fully prepared and ready to hit the ground running?
ChatGPT agent mode helps you achieve this without frantically digging through emails, praying you didn’t forget some crucial action item from the last meeting.
To prepare for a client meeting, you could give a simple instruction:
From this prompt, the agent produced a comprehensive meeting brief in just a few minutes.
Here’s a breakdown of everything it did:
1. Identified the meeting context
Found the upcoming client meeting in Google Calendar
Noted the meeting title, time, participants, and agenda (if available)
Cross-referenced the meeting with related email threads to gather context
2. Analyzed past communications
Scanned recent email exchanges with the client
Pulled out important details like:
Previous discussion points
Open questions or pending deliverables
Shared documents or links
Strategic priorities mentioned
3. Created a briefing document
Compiled a clean, structured brief including:
Client overview and relationship history
Talking points and key discussion topics
Outstanding action items or tasks
Suggested next steps
4. Delivered the output
Generated a ready-to-use client briefing document
Formatted as a Google Doc or PDF

Meeting prep results:
The whole process took less than 5 minutes
Provided a clear, concise summary with everything I need for the call
Not only will you save time, you’ll turn up for meetings fully prepared and ready to impress.
ChatGPT Connectors + Agent
ChatGPT can use connected apps to go beyond reasoning and generation, and actually take action across your workflow.
Here are just a few platforms it can connect with:
Google Workspace: Gmail, Calendar, Drive
Microsoft 365: Outlook, OneDrive, Office apps
CRMs: HubSpot and others for contact and lead management
Development tools: GitHub and dev environments
Docs and knowledge tools: Notion, Confluence, and more
These connectors unlock high-value automation: sending follow-ups, pulling files, drafting docs, updating pipelines, all triggered by your prompt.
ChatGPT Agent: FAQs
Is Agent mode secure?
Agent is powerful, but it needs supervision.
According to OpenAI, ChatGPT Agent has extensive multi-layered safeguards to keep your data and privacy safe.
But there are still risks, especially from something called prompt injection, where a sneaky website might trick the agent into doing things you didn’t ask, like sending a password reset code to a hacker.
Because the agent can act as you (e.g., in Gmail or Google Drive), it’s important to be careful. OpenAI recommends:
Only enabling connectors you actually need
Avoid logging into sensitive sites unless necessary
Always log the agent out when you're done
What are the limitations of ChatGPT Agent?
We’re still in the early days of ChatGPT Agent, and autonomous AI in general. So, there are some limitations to be aware of:
Doesn’t always understand intent – It follows instructions well but may not be a good judge of what’s appropriate or safe, especially with vague prompts or hidden commands.
Needs supervision – You still need to monitor it, approve key actions, and jump in if something seems off.
Limited capabilities (for now) – It may struggle with complex tasks or get stuck on websites or tools with unusual layouts.
Usage limits apply – Task volume is capped depending on your plan (e.g., Plus users get 40 agent messages/month).
Connectors are read-only – It can only read data from connected tools, not take action inside them directly.
Relies on screenshots – The agent "sees" pages through screenshots, so it may miss dynamic elements, pop-ups, or CAPTCHAs.
Hallucinations — As with any AI tool, there is a risk of hallucination. Check sources and cross reference anything that looks suspicious
Privacy risks – The agent can act on your behalf, which means it could accidentally do things you didn’t intend, especially if tricked by malicious content (prompt injection).
How do I get the best results with ChatGPT Agent?
To get more accurate results from ChatGPT Agent, here are some things to try:
Be clear and specific with your instructions.
Break complex tasks into smaller steps, explain them clearly.
Only connect the tools you need, when you need them.
Supervise the agent during sensitive tasks
Review and refine prompts if results aren’t right
Avoid open-ended requests like “do whatever it takes” in case it makes important decisions without checking in
Keep memory turned on for long-term context
